PRAIRIE ROOM Eden Prairie Art Center, 7650 Equitable Drive ARTS COMMISSION MEMBERS: Ann Rorem, Chair; Farida Kathawalla, Vice Chair; Ana Armstrong, Steve Mosow, Heather Olson, Elizabeth Petry-Lee, Julia Ramos ARTS STUDENT REPRESENTATIVES: Renee Roden CITY STAFF: Lindsey Danhauser, Recreation Coordinator—Arts Laurie Obiazor, Recreation Manager Nicole White, Therapeutic Recreation Coordinator RECORDING SECRETARY: Katie Hood I. ROLL CALL Rorem called the meeting to order at 7:02 p.m. Ana Armstrong and Renee Roden were absent. Steve Mosow arrived at 7:10 pm. Julia Ramos arrived at 7:14 pm. Farida Kathawalla arrived at 7:15 pm. II. APPROVAL OF AGENDA The approval of the Agenda with the addition of V. C. Committee Appointment and IX. C. Art Center Anniversary Open House. The Agenda was approved after section IV. Eden Prairie Players And Community Band was discussed. MOTION: Olson moved to approve, the Agenda, seconded by Petry-Lee. Motion carried 6-0. III. APPROVAL OF MINUTES OF JANUARY 11, 2010 MEETING The approval of the minutes was performed after IV. Eden Prairie Players and Community Band. In the last paragraph of section IX. B., the sentence was change to "There will be art available in a silent auction." MOTION: Mosow moved to approve the January 11, 2010 minutes, as corrected, seconded by Petry-Lee. Motion carried 6-0. IV. EDEN PRAIRIE PLAYERS AND COMMUNITY BAND A. Winter Theatre Recap — The Mousetrap Robyn Seaton said the auditions for Music Man will be held on April 12 and 13, with callbacks on April 15. There will be eight performances June 17 —20 at 7:00 pm and June 24 —27 at 7:00 pm. The Eden Prairie Players are trying to make ARTS & CULTURE COMMISSION MINUTES March 8, 2010 Page 2 enough money, in donations, to cover the costs of the performance. When the donations from last year are divided by the number of attendees, the donation ends up 75 cents per person. Typically, the donations are solicited at the end of the performance. It is being considered to move this to the beginning of the performance. The actors and crew will need volunteer help to ask the audience for donations. The Arts and Culture Commission were asked if they could help ask the audience for donations. Steve Mosow arrived at 7:10 pm. Reed is concerned about the Eden Prairie Players future if shows don't receive enough in donations. A raffle is being considered to be held for the donations. People or corporations could donate for part of the raffle. The Eden Prairie Players would like to know of any potential advertisers. Julia Ramos arrived at 7:14 pm. Farida Kathawalla arrived at 7:15 pm. Reed said Mousetrap was very well attended. There was a promotion of buy one ticket and get one half off. Seaton said there were about 14 discount cards used each night. Reed said there were around 400 tickets sold in total with 100 tickets bought online at edenprairieplayers.com. Reed said Eden Prairie Players will be reading the plays for One Acts. There are nine or ten plays to be read through. Previously there were 28 original scripts read and 150 scripts originally submitted. The script request was originally placed with Playwrights, and then it was a New York website and another national website. Scripts have been received from Alaska to Great Britain. All of the scripts were read and scored. The quality was from bad to good. There were a few good plays, which can't be used because of staging issues. The plays range from 10 minutes to 30 minutes in length. Seaton said the One Act show is around two hours in length. It is good to have some variety in the length of the shows. If all of the plays end up being shorter, then there may be up to eight plays. Reed said none of the plays were written by Minnesota playwrights. Seaton said the playwrights need to be contacted to have a conversation about what the playwrights expect for royalties. Reed said next year, there will be a restriction for each person can only submit a certain number of plays. Mosow suggested this story could be in the SUN of the Eden Prairie magazine. Ramos suggested even a New York publication for the story. Reed said the audition for the children's performance is in April. Rorem thanked Olson and Mosow for volunteering on the Arts and Culture Commission. Obiazor said the Board and Commission Banquet will be in April sometime. ARTS & CULTURE COMMISSION MINUTES March 8, 2010 Page 3 V. ART CENTER A. Prouammins! Updates — Sprinp,/Summer 2010 In the spring/summer brochure, Obiazor said there are some sections missing from the classes for the Art Center in approximately 30 - 40 of the brochures. The City received a printing credit for the error. Ramos said people in the community do not understand the difference between the Community Education classes and the Community Center classes. Obiazor said there could be a monthly e-blast including the Art Center Classes. Danhauser said the Art Center summer classes are in the day camp section. VI. PETITIONS, REQUESTS AND COMMUNICATION None. VII. OLD BUSINESS A. 2010 Relisious Holidays Obiazor said the City Council discussed the religious holidays to be taken into consideration while planning City events. This isn't an official policy,but is sufficient to follow and not plan events on these dates. Holi—February 28-March 1 (Sunday-Monday) Good Friday - April 2 (Friday) Easter—April 4 (Sunday) Passover—March 30-31 (Tuesday-Wednesday) Rosh Hashanah— September 9-10 (Thursday-Friday) Eid ul-Fitr—September 10 (Friday) Yom Kippur— September 18 (Saturday) Durga Puja— October 17 (Sunday) Diwali—November 5 (Friday) Eid al-Adha—November 17 (Wednesday) Christmas —December 25 (Saturday) B. Discuss Criteria for Public Art Danhauser said there are 13 non airport lightrail stations in Minneapolis. There were five teams of artists who worked with architects. The Minneapolis budget was $9 million, with $4 million from Minneapolis and $5 million from the Metro Council. Other sources for funding need to be identified for the Eden Prairie light rail stations. Petry-Lee asked if businesses are allowed to donate funding. Obiazor said businesses could donate and probably receive naming rights. Danhauser said there will be three stations in Eden Prairie. ARTS & CULTURE COMMISSION MINUTES March 8, 2010 Page 4 Danhauser asked the Commission where the City should have public art. Petry- Lee suggested the hiking trails and parks. Olson suggested the town center around the water tower. Petry-Lee suggested outside the Art Center. Olson suggested locations where people enter the community. Mosow suggested the town center, in front of the Community Center, and at the overpasses. Mosow suggested Flying Cloud and Pioneer Trail. Kathawalla suggested a sign when coming into Eden Prairie on 494, on 212, Flying Cloud. Petry-Lee suggested coordinating with Parks and Recreation and having different artistic benches throughout the City. Ramos suggested the mall, Purgatory Creek, and the library. Kathawalla suggested Southwest Station. Danhauser said the planning department has not given any money for art in the City. Mosow said there are three items to discuss regarding art in the City. 1) Criteria 2) Proposal 3) Sponsorihow funded Danhauser said the art does not need to be one theme. Mosow suggested one of the themes could be an art which represents the Eden Prairie community. Maybe from farming to high tech. The placement and criteria need to be determined for each piece of art. The theme, scale, and material or durability need to be considered as well. Obiazor said three locations for the art could be transit,public park settings, and commercial properties. The transit location may have specific needs. Ramos said she would like to see nature related art, like a grouping of cherry trees. Ramos said grants could be explored once there is a direction on what is wanted with the art and art placement. Danhauser suggested places people congregate, the southwest trails and gateway places. Ramos said something artistic can be made with the same amount of money as something ordinary. Ramos asked if there is a way to make ourselves heard about art in the community and how to consider involving art when designing. The locations of the art could be: 1) Transit—light rail and southwest station 2) Parks 3) Gateways into the community 4) Indoor gathering areas a. Eden Prairie Mall—Ridgedale has some murals b. Community Center c. Art Center 5) Green art 6) Diversity—kinds of activities —have a diverse criteria 7) Amphitheatre ARTS & CULTURE COMMISSION MINUTES March 8, 2010 Page 5 C. Committee Appointment Obiazor said there is a City School Advisory Committee which Steve Mosow has been part of. The committee discusses the use of space in the community. Mosow said they meet two times per year in March and October. At the meetings, the individual needs to report on what the Art and Culture Commission is doing. The next meeting is Monday, March 15 and is around two hours. Kathawalla said she would be on the committee. MOTION: Mosow moved, seconded by Petry-Lee to appoint Farida Kathawalla to the City School Advisory Committee. Motion carried 5-0. VIII. NEW BUSINESS A. International Festival— 2010 Vision, Mission, Goals & Responsibilities Danhauser told the Commission about the Vision, Mission, Goals, and International Festival Committee Purpose and Expectations. Vision: The Vision of the Eden Prairie International Festival is a vibrant, family friendly event to celebrate Eden Prairie's cultural diversity through food, entertainment, activities and cultural displays. Mission: The mission of the Eden Prairie International Festival is to foster a sense of belonging and appreciation for the diverse cultures within the City of Eden Prairie. Goals: 1) To offer 3-5 quality food vendors that are representative of the diversity within Eden Prairie 2) To work with citizen groups within and around Eden Prairie to attract 5-10 entertainment groups to perform on stage at Staring Lake Amphitheatre. 3) To work with Citizen groups to identify and implement 10-30 activities and displays representing diversity in Eden Prairie. 4) To offer 5-10 community service vendors or providers an opportunity to provides information and resources to the diverse populations of Eden Prairie 5) Work with a committee of representatives from the school district, arts and culture commission, human rights and diversity commission, at-large community members and student representatives. Purpose: The purpose of the committee is to be a voice for cultures in Eden Prairie to bring forth and execute ideas that support the goals and mission of the International Festival. Expectations: 1) Attend at least 5-6 meetings and report progress of assigned duties 2) To be accountable for tasks from beginning to end ARTS & CULTURE COMMISSION MINUTES March 8, 2010 Page 6 3) To volunteer a minimum of two hours during the day of the event or be responsible for recruiting a suitable replacement. The concept of what is a tent display is being looked at. The concept of what a street fair would look like in different cultures is being looked into. One possibility is to move the displays outside of the tents. The service groups would be in the 10 x 10 tents. There is one student representative and one Commission member from the Human rights and Diversity Commission who will be on the committee. The committee will meet around one time each month. The committee may meet during the day, but it depends on the committee members. Obiazor will talk with the new Commission members about being on the committee. Kathawalla said she would like to do henna. Ramos and Kathawalla said they would like to share a booth. B. Tour Art Center & Discuss Use of Space Tabled until a later meeting. IX. REPORTS OF STAFF AND COMMISSIONERS A. Recap of LOCALS Event • Price strategies for Art Center Services • Social Media Boot Camp to be held at EPAC Tabled until a later meeting. B. 2010 Sounds Around Town Update Tabled until a later meeting. C. Art Center Anniversary Open House Danhauser said the Art Center Anniversary will be on May 23 from 2-4 pm. X. NEXT MEETING Next Meeting —Tuesday, March 23, Council Chambers at 7 pm—Presentation to Council Monday, April 12, Prairie Room at 7 pm—Welcome New Commissioners XI. ADJOURNMENT MOTION: Ramos moved, seconded by Petry-Lee to adjourn the meeting. Rorem adjourned the meeting at 9:09 p.m.
